PATIENT Services Specialist

We’re looking for a full-time on-site Patient Services Specialist. Also known to us as the Director of Everything Important.

Clutch PT + Performance is a PT-owned clinic on the Upper East Side of Manhattan, built by athletes, for athletes. We pride ourselves on providing the highest caliber of one-on-one care in sports and orthopedic physical therapy, post-operative rehab and sports performance optimization in New York City. As athletes ourselves, we understand the caged-animal kind of mentality our patient athletes get when they can't pursue their sport, and do everything in our power to get them back to doing what they love. We believe in full body and movement assessment to pinpoint the root cause of dysfunction so we can relieve their pain, prevent it from recurring, and help them realize their full athletic potential.

 

WHO WE’RE LOOKING FOR:

We’re looking for a Patient Services Specialist to work on site from 9AM - 6PM Monday-Friday.

You would be responsible for our patients’ first impression of our brand. That’s a very big deal to us. We’d expect you to make all of our patients feel comfortable, welcome, valued, important and heard, whether you’re talking to them on the phone, texting them or meeting them in person.

No one has rainbows coming out of their you know where all the time. But we need a team player with an infectiously positive attitude who loves talking to new people, can be highly persuasive and possesses boatloads of patience and energy. This is mandatory when dealing with health insurance companies.

We walk the walk and push ourselves as hard as our patient athletes do, so we’re looking for a candidate who’s willing to do the same.

Our clinical staff participates in races and athletic events throughout the year. Sometimes it's for charity and sometimes it's just because we're really competitive. It's also our way to better connect with our patients and support our community. We'd like for you to be on board with that, and pursue your own fitness interests, too.

 

DUTIES AND RESPONSIBILITIES INCLUDE BUT ARE NOT LIMITED TO:

  • Make a damn good impression over the phone and in person to patients, contacts and referral sources. 

  • Drink the Kool-Aid. We will explain and train you in great detail about what makes our caliber of care the best, and what sets us apart from other practitioners. We’ll need you to embrace and believe in our methods, and the value of what it costs. Otherwise, patients will see through it. 

  • Fill our therapists’ schedules by closing the deal with potential patients. This will require you to quickly assess their pain points, connect with them and convince them that we are the best option for their care. We want to be crystal clear that this position requires a certain je ne sais quoi that makes people putty in your hands! Or, voice. But you get the idea. They’ll come in because they believe we will get them better, and to a great degree, because of you, too. 

  • Collect and accurately enter patient data in EMR system. Details REALLY matter. 

  • Listen to and handle all patient concerns.

  • Monitor and stay informed on health insurance regulations and changes.

  • Maintain schedules for therapists.

  • Ensure all clinic policies and procedures are updated, followed and implemented.

  • Assist with insurance authorizations and benefit verifications.

  • Manage clinic correspondence.

  • Support clinical staff when asked.

  • Manage inventory and supplies.

  • Assist Marketing Manager with content creation as needed. 

  • Bring a positive attitude and solid ideas to the table.

 

QUALIFICATONS:

  • Minimum of AA degree. Bachelor degree preferred.

  • Enthusiasm, energy and positivity are must-haves.

  • Previous experience in healthcare is ideal but definitely not required.

  • Experience in customer service is critical. But we’ll even consider those hours you put in at The Limited at the mall in high school.

  • Experience and knowledge of PT medical insurance and billing is a bonus but not mandatory.

  • A borderline obsessive attention to detail would be considered a plus.

  • Computer/digital savviness is key. But being glued to your smartphone is not.

  • Athletic background is preferred. That’s probably obvious if you’ve read this far.

 

COMPENSATION:

Hourly compensation for 40 hours per week initially, with opportunity for expanded responsibilities and incentives. A one-hour break for lunch will be given each day during the 9AM - 6PM work day. The timing of that lunch break may need to flexible day to day, depending on the patient load and what’s happening in the clinic.
